Privacy Policy
This policy explains how Codon Partners handles personal information in connection with this website, recruitment enquiries and communication preferences. Contact us at info@codon-partners.com with privacy questions or requests.
Information you provide
We may receive your name, contact details, CV, career history, professional interests and information you choose to share about a role or hiring requirement. Please do not send sensitive information unless it is relevant and we have discussed how it will be handled.
The contact form prepares a message in your email app. It does not send or store that message on the website. We receive the information when you send the email. Applications submitted through the job board are handled through Recruit CRM.
Communication preferences
Our preferences form stores your name, email address, any phone number you provide, your separate choices for recruitment-process texts and relevant-opportunity texts, the date and time, the form version and the wording shown to you. These records are private and available to the authorised site owner. Submitting a request does not itself activate messaging in Ringover.
We use these records to review and honour your choices and demonstrate how consent was obtained. Both text-message choices are optional and are not a condition of recruitment services. We do not sell your mobile number or share your SMS opt-in consent with third parties for their marketing or promotional purposes. Messaging and technology providers may process information only as needed to provide their services to us.
How we use information
We use information to respond to enquiries, discuss suitable roles, support recruitment and assignments, communicate with candidates and clients, maintain business records and protect our services. Where UK data protection law applies, the relevant basis may be taking steps at your request before a contract, performing a contract, meeting a legal obligation, or our legitimate interests in providing and improving recruitment services. Where we rely on consent, including optional text messaging, you may withdraw it.
Who may receive information
Relevant information may be shared with prospective employers or clients as part of a recruitment process discussed with you. We also use service providers for email, recruitment systems, hosting, messaging and, where applicable, employment and payroll support. These include Recruit CRM, our website hosting providers and, when messaging is enabled, Ringover. Workwell may handle information needed for an agreed contract assignment. Information may also be disclosed when required by law or to professional advisers where necessary.
Some service providers and recruitment partners operate internationally. Where personal information is transferred internationally, applicable data-protection requirements and safeguards must be considered for that transfer. Contact us for details relevant to your information.
Website technology
Our hosting services process technical information needed to deliver and protect the website. To limit automated submissions, the preferences form uses a short-lived hash derived from the requesting IP address and a time window. The form does not store the raw IP address in your preference record.
Fonts are loaded from Google Fonts. The job board and YouTube videos load only when you choose to open them; those providers then process information under their own policies and may use cookies or similar technology. Owner sign-in uses ChatGPT authentication. External links, including LinkedIn and IMSQ, lead to separately operated services.
How long we keep information
We keep information only for as long as it is needed for the purpose for which it was collected, including an ongoing recruitment relationship, legal obligations and the handling of requests or disputes. Consent and suppression records may need to be retained to evidence your choices and prevent further unwanted messages. Ask us about the retention period relevant to your records or request deletion.
Your choices and rights
You can ask us to access, correct or delete your information, restrict its use, or explain how it is handled. Depending on the law that applies, you may also have rights to object to processing or request a portable copy. We may need to verify your identity before responding. Withdrawing consent does not affect processing already carried out lawfully.
To stop texts, reply STOP to a message or email info@codon-partners.com. Use the same email for help or to change your preferences. If you are in the UK, you may raise a concern with the Information Commissioner’s Office. Other applicable privacy rights remain available.
